Hurricane Idalia is heading our way with a degree of unpredictability and is anticipated to arrive on Wednesday, August 30, 2023.

OFFICE CLOSURE

For everyone’s safety, our offices will be closed on Wednesday, 8/30. Expected severe weather conditions in Palm Coast made it necessary to do so. We are currently expecting regular office hours to resume at our physical location on Thursday, 8/31.

Our highest priority is the safety of our team as well as our members. ANY FUTURE UPDATES WILL BE UPDATED ON THIS PAGE.

OPERATIONS UNDER THE PANDEMIC

A SPECIAL MESSAGE for OFFICE DIVVY MEMBERS & CLIENTS regarding Office Divvy’s physical location related services during the CORONAVIRUS (COVID-19) pandemic in Palm Coast and Flagler County

UPDATE 2/1 – The office has received updated air conditioning units to provide better airflow.

The team at Office Divvy is committed to the safety and health of our team, members and clients.

We pride ourselves in being proactive and forward-looking when it comes to customer-experience operations.

Please note:

If you are an Office Divvy member subscribing to our Co-Location programs (including Coworking, Virtual Offices, Satellite Offices, or Dedicated Offices):

Office Hours

9:00 am to 5:00 pm Monday through Thursday.

9:30 am to 2:30 pm Friday.

Team On Location

A limited number of team members come in each day to manage the space, moderate foot traffic, tend to members’ needs, and maintain optimal level of cleaning and disinfection. Other team members work remotely.

Access to Space

Access to the space is available for Office Divvy members and their guests. Access and entry is monitored and moderated by the front office team through camera, intercom, and remote door lock controls. This is to ensure masks are worn and allows the front office to moderate inbound traffic and control the number of people in the space. A TV monitor in the lobby communicates policies and informs members and guests of some of the things we’re doing.

Mask Requirement

Recent CDC guidance stating that fully vaccinated people are no longer obligated to wear masks has signaled us to reevaluate our policies in context to these new guidelines. 

As you know, we sent out a survey to get Office Divvy member and staff opinion on whether we should remove the mask requirement in our offices for those who are fully vaccinated. We have received statistically significant participation for this survey. Here are the results:

59% of those who participated thought mask requirements should continue in our shared space. This is an amazing compromise on the part of those who are fully vaccinated to choose to continue to wear masks in the space. 

Your helpful feedback has guided us to continue with mask requirements in the offices until further notice. We do expect to remove the mask requirement in the near future based on improved vaccination/immunity rates. We expect to reevaluate the mask requirement policy later this summer.

Physical Changes to Space

  • Front-desk reception function has been removed from the lobby
  • Front office team now operates behind a transaction window.
  • Lobby is now roomier for guest traffic and waiting-zone.
  • All restrooms feature touchless lights, towels, and trash cans.
  • Clear dividers are in placed in rooms that require them.

Office and Meeting Room Cleaning

  • A 31-point checklist is followed for room cleaning.
  • Room usage has been limited to one use per day.
  • After use, room is sprayed with disinfectants.
  • Room is aired out with open window.
  • An electrostatic sprayer is used with disinfectants.
  • All touch surfaces are disinfected.
  • Room is freshened back up to be client ready.

Daily Mail Operations

  • Daily inbound mail operations continue uninterrupted.
  • Mail is handled safely and cello-bagged for your safety.
  • We discourage visits solely for mail pick up purposes.
  • If you have mail, we forward it to your address on record weekly.

Administrative & Concierge Services

  • Small drop offs and pickups are managed by the front office.
  • Large item drop offs and pickups remain suspended.
  • Notarization & witnessing services remain suspended.

Scheduling Space

Scheduling office and meeting space through our application is available. You can log in at cali.OfficeDivvy.com and manage your space needs.

What Do We Expect from You?


1) If you or your client is feeling under the weather, you have the opportunity to reschedule your meeting. Certainly, if you have a fever (a temperature greater than 100.4°), get evaluated and do not come in.

2) If you currently have any other symptoms of COVID-19 (red eyes, rash, chills, muscle pain, shortness of breath, loss of taste or smell and others), we will ask you to get tested and wait at least 15 days to schedule any appointments or to come in to the office. To reschedule, you could use the cali-app, or call and speak with one of the Office Divvy team members, as they are here to assist you with the next available date: 386-445-4153

3) Advise your guests and clients that masks are required to enter the space in advance of the appointment. Ask questions to ensure they do not have had any of COVID-19 symptoms or have been in contact with someone who has/had COVID-19 in the past 15 days. Ask your clients to be on time, and not arrive early (as you can imagine, during this time we want to be vigilant about getting people in and out for their appointment with you, and minimize time spent in the lobby waiting).

4) Avoid physical contact in the office as much as possible. Keep a distance of 6 feet or more whenever possible and keep in person conversations with other members and Office Divvy team to a minimum to decrease face to face time and overall time in common-spaces while in the office.

5) Continue to wash your hands, before a meeting and after a meeting. Both sinks and bathrooms are equipped with hand soaps that will remove 99.99% of bacteria and unwanted germs!

Please note:

Under Governor’s Safer-At-Home Executive Order, Office Divvy is considered an essential business.

However to mitigate from the potential risks of the spread of CORONAVIRUS (COVID-19) among our team, our members and their clients, offices will remain closed through Saturday, April 4th Saturday, May 2nd. Saturday, May, 16th, 2020

If you are an Office Divvy member subscribing to our Co-Location, Coworking, Office Use programs:

1) Scheduling office and meeting space through our application has been suspended through Saturday, April 4th Saturday, May 2nd Saturday, May 16th, 2020.

2) In person drop offs and pick ups are currently suspended.

3) Daily mail and courier package notifications will continue.

4) Received mail will be overnighted to members weekly.

5) A video and audio device is being installed on the door to communicate with visitors and courier service employees without having to interact with them in person. Additionally a temporary notice on the door includes a phone number, so we can respond appropriately to anyone on-location here while the offices are closed.

6) We’ve installed a lockbox in front of the office to safely receive courier deliveries and drop offs from your clients. We also manage some pick ups through this lockbox.

We are heavily monitoring coronavirus related news and updates as we are aware that the number of cases in the United States have risen over the course of time.

With a highly fluid and diverse demographic of many transplants and travelers, it is logical that Corona Virus cases in Palm Coast and Flagler County are inevitable. With that comes this need to share certain updates:

Protective Measures provided by Office Divvy on-location:

Reschedule meetings when applicable. IfIt is “business as usual” for our team to thoroughly refresh the offices and conference rooms after each time a member uses them by following our 14 point checklist. We have done so for years. We wipe the desk surfaces and all chair arm-rests and sanitize the desk phone and door handles, after each use.

Rest assured that there will be a continued and increased effort for our existing practices, and we will remain hyper-vigilant for hygiene measures in each office, bathroom, and common area spaces throughout our shared location.

For peace of mind: We are always fully stocked with cleaning products used to freshen the office, sterile alcohol pads, and hand sanitizing stations within each suite, and our front lobby.

What Can You do?

We want our members to stay healthy! 🙂 If you subscribe to our business-location packages here are some reminders for you:

If you traveled out of the country in the last two weeks, we will ask you to wait at least 2 weeks to schedule any appointments or to come in to the office. Advise your clients to be on time, and not arrive early. During this time we want to be vigilant about getting people in and out for their appointment with you, and minimize time spent in the lobby waiting.

Utilize tissues when coughing or sneezing. Each office has a box of tissues used for your convenience. If you have to cough or sneeze, cover your mouth with your elbow and not with your hands. To limit the spread of germs, it’s best to sneeze/cough into the tissue and discard it properly. Trash is removed after each meeting and taken out at the end of day 🙂

Ask our team for coffee, water, or snacks, do not self-serve. Please do not self serve. Our team is hyper vigilant when it comes to hospitality. We wash our hands before making a cup of coffee or tea for our members and their guests.

At this time, the offices will continue to operate during normal business days and hours. If the epidemic makes it’s way to Palm Coast or any of the surrounding counties, we will publish an action plan and notify you.

Here we have Hurricane Dorian heading our way with a large degree of unpredictability over this Labor Day Holiday of 2019.

OFFICE CLOSURE

Initially we announced to close the office from Saturday, August 31st through Labor Day, Monday, September 2nd. But based on the new speed and track of Hurricane Dorian, we’re deciding to keep the office closed also on Tuesday, September 3rd for the safety of our team as well as our members.
